Equipment purchases
Business Equipment Funding: Bring the Quote and the Right Documents
When a supplier has the equipment your business needs, the useful financing question is specific: how much cash does this purchase require, when must it be paid, and can the business manage the actual funding terms? Bring the quote and a complete file so a reviewer can work on that purchase.

Get a written quote with the complete purchase cost
Ask the supplier for the item description, price, taxes, delivery, installation and deposit requirements. For used equipment, include the model, age and available condition details. Confirm how long the quote is valid and whether equipment availability depends on a deposit.
A restaurant oven or construction machine may also require electrical work, permits, training or insurance. Include these costs in your budget and separate cash you already have from the amount you need to finance. The sticker price alone may not cover the project.
Compare equipment finance and working-capital options
An equipment loan or lease and general working-capital financing are different arrangements. Ask what the provider is financing, whether the equipment secures it, who owns it during the agreement, and what happens at the end. Compare the payment schedule, total cost, any deposit and any purchase option using the written terms.
SBA says its 7(a) program can support machinery and equipment purchases and working capital. Applications go through a participating lender, which determines the documents and reviews eligibility and repayment ability. An initial LoanQuail business application is not a completed SBA lender application, and submitting it does not guarantee that an SBA option is available.
Prepare a file your supplier or bookkeeper can help organize
Your supplier can explain the purchase and your bookkeeper can help locate business records. You remain the applicant and should authorize any introduction. Upload the application and financial records directly through your application or the private link assigned to your file rather than giving a supplier access to your bank login.
For LoanQuail's initial business funding review, start with the signed application and three latest completed months of business bank statements. A product may require more. List existing financing, including any equipment payment that will remain after the new purchase.
- A supplier quote showing the equipment and full purchase or installation cost.
- The signed business application and latest three completed business statement months.
- Legal business name, DBA if applicable, and the account that receives business income.
- Current financing providers and payment schedules; payoffs if refinancing is involved.
- Cash already available, remaining funding need and the actual supplier payment deadline.
Connect the purchase to business cash flow
Explain whether the equipment replaces a broken item, expands capacity or supports a booked job. Use the cost and margin of the work you can actually perform, including labor and operating expenses, rather than the total sales value alone.
Describe when customers pay and when the supplier, payroll and funding payments are due. If the purchase depends on one contract, include its timing and any conditions. An equipment purchase can have a clear business purpose without guaranteeing a return; the business must still evaluate the proposed obligations.
What if the first product does not fit?
A reviewer can check whether another confirmed program warrants further review instead of treating every request as the same kind of advance. That may require different financial records, a smaller purchase, a different schedule or a supplier option. There may also be no suitable offer.
If real estate is proposed as collateral, treat it as a separate decision and review the actual lien, guarantee and default terms. Owning a property does not establish eligibility. Keep your current file organized so any additional request is for a specific missing item instead of starting over.
Common questions
Can my equipment seller fill out the application with me?
They can help explain the purchase and organize the quote with your permission. You should check the business answers, provide your own authorization and upload financial or identity records directly through your application.
Do I need an offer before I can ask about funding?
You can start a review with your current documents and purchase details. Do not commit to a nonrefundable supplier payment on an assumption that funding will be approved.
Will three business statements complete an SBA application?
No. They are an initial review set. An SBA lender determines the complete application and supporting records required for the business and loan.
Does applying commit me to a supplier purchase or funding agreement?
The LoanQuail application starts a review. Any supplier purchase or funding agreement is a separate decision based on its actual terms.

This guide explains document preparation and comparison questions. Availability, requirements and terms depend on the product and lender. An application is a request for review, not an approval or an offer.
